The spreadsheet closes after I do a Save
Generally, only one import file is generated for a spreadsheet (aka WorkBook), and closing the spreadsheet automatically is a way of saving keystrokes.

If you want to keep the spreadsheet open after a Save, check the checkbox. You can then select another section of the current worksheet, or select a different worksheet from the same spreadsheet.

How do I include blank rows
SPIP examines a worksheet to determine how wide (the number of column headers in row 1) and how deep (the number of rows starting at row 2), and stops when it finds an empty column header cell in row 1, or the first subsequent row that has empty cells for every corresponding column header. This is so that you don't have to know beforehand how big the worksheet actuall is.

You can include blank rows by checking the checkbox, which allows up to two successive empty rows that have to be immediately followed by a row that has at least one non-empty cell. If SPIP finds three successive empty rows, then it subtracts three from the actual row scan to determine the number of active rows.

Why are currency values incomplete?
Excel has a habit of dropping least significant digits when they are zero (e.g., '10.00' becomes '10', etc.), even when the column formatting is set to currency. We've seen some worksheets that get aound this by setting the cents' to one (e.g., '10.01').

To eliminate this problem, select a currency type in the column header name list, and then check the checkbox, while will force a two significant representation of a non-empty currenty cell. It won't include a currenty type sign, but this can be set by entering the required currency symbol character in the column's [Prefix] edit box.

The column header list is incomplete
SPIP examines a worksheet to determine how wide (the number of column headers in row 1) it is, stopping when it finds an empty column header cell. In this case, one (or more) column header cells that are being used as "spacers" are empty.

You can eliminate this problem by entering a column header description for the spacer columns, and marking these columns as hidden.

How do I include the column headers?
You can include the column headers in the generated import file by checking the checkbox.

This will put the column headers into the generated import file's first line, with each header column having the same order, style, prefix/suffix values, etc., as selected after the spreadsheet was opened.

The spreadsheet's style information is missing
Many times the spreadsheet is generated on an outside workstation (e.g., at a client's office) that has different fonts, styles, etc., as those on which SPIP is running, which can result in some unusual effects. Additionally, Excel's use of styles, fonts, etc., can be different from those that are used in the layout program. Finally, different versions of Excel can have different actual fonts even though they have the same name.

SPIP eliminates these problems, actual or potential, by ignoring Excel's style information, instead letting you select those by checking the checkbox, and then setting the style information for each column directly by selecting the style setting panel's FontName descriptor, or the FontColor panel, which opens a font selection dialog where the font, style, color, size, etc., from the local workstation can be selected.

How do I import a section of the worksheet?
You do this by telling SPIP which column in row 1 to start, and how many columns to include, by entering the respective values in the set scan panel section before you click the toolbar button to locate and open the spreadsheet.

How do I add sections to an existing import file?
An import file is generated when you click the toolbar button, and SPIP will create a filename consisting of a SPIP_ prefix, followed by up to thirteen characters of the spreadsheet's filename, followed by up to thirteen characters of the selected worksheet's name: SPIP_NameAddress_Reps, and then opens a Save dialog using this as the default file.

If an import file already exists, either with the default name or by selecting another file in the Save dialog, then the dialog to the right is opened, where you can append the import data to the existing file, overwrite the existing file, cancel the import generation, or reopen the Save dialog to select or specify another file.

Why can't I set the import file's extension?
If the checkbox is NOT checked, then the import filename's extension is always forced to TXT, otherwise the import filename's extension is forced to RTF, regardless of what may be entered when the Save dialog is open.

This is because virtually all layout programs recognize these extensions for a direct import without requiring any intermediate processing, and to conform to Window's file extension associations and eliminate the viewer selection dialog that opens automatically if these files are opened in Explorer.

The worksheet has multiple sections; how can I process these?
Usually called tiling, sometimes slices, these sections often represent the same kind of information (i.e., with the same column headers and value types) but are tiled successively to the right, usually for formatted native printing purposes.

You can quickly handles these by setting the start scan position for each section, and then refreshing them, using the following procedure.

  1. Examine the worksheet to determine where each tile starts, and how many columns each tile section has
  2. Before you open the spreadsheet, enter the first section's start column and number of columns in the set scan panel section
  3. Check the checkbox
  4. Click the toolbar button to locate and open the spreadsheet
  5. Make the style, column ordering, etc. selections as required
  6. Save the generated import file, either to a new file, or as an append to an existing file
  7. Enter the worksheet's next section start (and optional number of columns)
  8. Click the toolbar button to refresh the next section's headers
  9. Repeat steps 5 through 8 as required until all the sections for that worksheet have been processed

Anti-Virus Program Considerations
We strongly recommend you disengage any anti-virus program that you may be using during the installation and registration of all FutureWare products. There are known problems with anti-virus programs blocking database access and other file-based processing. Check the ReadMe.Txt file for specific procedures to protect against problems induced by anti-virus programs.
 

Symantic's CrashGuard, NAVCE and RTVScan products have documented problems related to database access issues that are covered in varying detail on their web site. You should exclude from virus scans SPIP's installation folder, or at the least exclude the following file located in SPIP's installation folder: fwspip.exe
